The Basics
What is mail receiving? Mail
forwarding?
Mail receiving is a service whereby a
third party receives your mail and holds it for you
to pick up.
Mail forwarding is a service whereby a
third party receives your mail and forwards it to
you.
Who needs mail forwarding?
Many individuals and businesses use mail
forwarding. Here are a few examples:
- Businesses that need to maintain a presence
in another locale;
- Foreign businesses that need to maintain a US
presence;
- Internet or "virtual" businesses that need to
maintain a "bricks and mortar" address;
- Individuals that are often away from home or
place of business for extended periods of
time;
- Individuals who frequently change addresses
but need to maintain a single permanent mailing
address;
- Expatriates who wish to maintain a US mailing
address;
- Individuals who require a separate mailing
address for reasons of confidentiality;
- Individuals at leisure, such as those that
travel the country by boat or RV.
What is mail2email?
mail2email is the trade name of a
sophisticated mail forwarding/scanning platform. The
mail2email Mail Manager provides users with
unprecedented control over their postal mail.
CITYvoffice.com has licensed the
technology to provide the best-of-breed service for
its mail forwarding clients.
Why not use basic mail forwarding?
Basic mail forwarding has a number of
shortcomings, one of which is the waiting: your
postal mail must be delivered to the forwarding
service where it is processed, batched and remailed
to you at a later time. Then you must wait for the
forwarded mail to be delivered, which may take days
or weeks if you reside abroad.
Once the mail is delivered it waits
until you are in the neighborhood to pick it up to
read it.
How is mail2email different from other
mail forwarding services?
Upon receipt of your postal mail we will
electronically scan each envelope and send
notification of your new correspondence to you
immediately via email. Using our Mail Manager web
interface you can:
- View the envelope image;
- Request a scan of the mailpiece
contents;
- Request that the mailpiece be shredded
(destroyed);
- Request that the mailpiece (and all other
waiting mailpieces) be forwarded to your current
location;
- Leave the mailpiece to be forwarded with your
next scheduled delivery.
The service puts you in full control: you decide
what is urgent, what is junk mail, and what can
wait. The option for a full mailpiece scan
circumvents all the waiting and puts critical
information in your hands within hours.
Does mail2email use PO Boxes? Why
not?
Our competitors often route their
clients' mail to a PO Box because they do not have a
full-time staff to receive mail or they do not have a
permanent, well established address where they can
receive and store mail. Others have real addresses in
out-of-the-way places and provide a PO Box address in
New York City to provide the facade of a Manhattan
address.
Beware! PO Boxes can only be used to
receive USPS mail! You cannot receive Federal
Express, UPS, DHL or other courier deliveries at a PO
Box address.
We absolutely do not use PO Boxes. We receive
and process all USPS and courier deliveries at our
Manhattan address.
The Service
What is an envelope scan?
As we receive each mailpiece, we
electronically scan the outside of the envelope and
post the image online. The image can then be viewed
instantly from any browser.
Will you open my mail?
Absolutely not, unless you
specifically request a mailpiece content scan. We
only scan the outside of each envelope.
What is the Mail Manager? What do I
use it for?
The mail2email Mail Manager is our
secure, proprietary web page for managing your
postal mail. With it you can view envelope scans of
your postal mail, request and view full mailpiece
scans, request a one-time forward of your pending
mail, and track your forwarded postal
mail. Read

What is a mailpiece content scan?
When would I need one?
There are often times when postal

you need to see immediately, such as legal notices,

contents and deliver the image to you via our Mail
Manager web page.
You can view the image online anywhere
in the world where you have access to the internet.
You can also save the image on your computer,
forward it to colleagues or fax it on to
others.

The Service
Plans
What service plans do you offer?
We offer three service plans that vary
by the expected number of mailpieces to be
processed. Read more...
What charges might I incur beyond the
monthly plan charge?
You incur:
- A fee + postage whenever you have your
postal mail forwarded;
- A fee + postage whenever you receive a
parcel;
- A fee for each mailpiece processed above
your plan allowance for the month;
- A fee (+ postage if applicable) whenever
you request a Pay-Per-Use service.
When and how often will I be
charged?
Your plan is billed on a quarterly
basis for the coming quarter. Your refundable
postage/service account is replenished whenever the
balance falls below the replenishment
threshold.
What is the Refundable
Postage/Service Account?
This account is established to cover
postage and fees you incur as a result of postal
mail/parcel forwarding, plan overages or the use of
Pay-Per-Use services.
Whenever your balance falls below $10
your credit card is automatically charged $50 to
replenish the account.
The balance of your account is
refunded to you upon termination of the
service.
How do I decide which service plan
makes the most sense for me/my business?
In general, choose m2eSTARTER if you
receive less than 30 mailpieces per month; choose
m2ePRO if
you receive more than 100 mailpieces per month;
otherwise m2eSTANDARD should
prove most economical.
Can I upgrade my plan?
Yes, you may upgrade at any time. Your
upgrade will take effect the following month.
Can I downgrade my plan?
Yes, you may downgrade at any time.
Your downgrade will take effect the following month
and your prorated credit will be applied to the
following quarter.
How do I terminate my
subscription?
You may terminate your subscription at
any time by sending us a signed request 30 days in
advance of the termination date. We will continue
to process your postal mail for the 30 day period,
after which your mail will be discarded.
During the 30 day termination period
you are responsible for all plan, processing and
forwarding costs. At the end of the termination
period any remaining deposit balance will be
refunded to you.
Subscribing
How do I sign up?
Please visit our Order page.
What documentation must I
provide?
Once you subscribe we will send you a
partially completed USPS Form 1583. You must complete
the form, have it notarized and return it along with
photocopies of two acceptable forms of identification.
Why must I provide a notarized USPS
Form 1583?
US Postal Regulations dictate that all
entities receiving service from a Commercial Mail
Receiving Agency (CMRA) must complete USPS Form
1583 and supply valid, acceptable forms of
identification. Beware of services that do
not require form 1583!
What is a notary? Where can I find
one in my country?
A notary is a licensed official who
will verify your identity and provide an official
stamp on the USPS Form 1583. This stamp (in English
or the local language) is required by the US Postal
Service in order for us to receive mail on your
behalf.
If you are in the US, the services of
a notary can generally be found at your local bank
or town hall, often for free or a nominal fee. If
you reside outside of the US, call your country's
US Embassy or Consulate. If a notary is not readily
available, it is acceptable to find a local
official, such as an attorney or bank official, who
can provide a similar stamp.
