Nationwide Toll-Free Telephone Number

Other service providers often have their clients share a toll-free number. At CITYvoffice.com each client receives their own private number - not an extension to a shared number.

Our toll-free voice/fax services feature:

  • No dedicated line required - Your number can ring on your existing phone line or connect directly with voicemail;
  • No activation or set up fees;
  • No equipment to buy and no software to download;
  • Never busy - Calls are routed to any of your existing numbers or voicemail;
  • Your toll-free number is yours to keep, even if you should decide to cancel our service;

Dedicated Customer Support

Every toll-free system includes access to dedicated customer support should you need help setting up your toll-free system, need to upgrade your plan, add a feature, or simply have a question regarding a feature. A live client service representative is a phone call away.

Multiple Voicemail Boxes

Each toll-free number comes complete with multiple mailboxes available for use by departments and employees, for informational purposes, or automated order taking.

Create the impression of a single office regardless of the actual geographical location of employees. Each mailbox/extension has its own virtual office features including password protection, unlimited voicemail, Follow-Me-Live Call Transfer, call return, message notification, cardless calling card capabilities, and more.

Auto-Attendant

When a caller dials your toll-free number, the custom main greeting can provide the caller with specific options to choose from. For example, a greeting might say: "Thank you for calling ABC Company. Dial 1 for sales, 2 for support, 8 for the dial-by-name directory, or 0 for the operator." This feature eliminates the need for a secretary to answer and route calls.

Busy Signal Elimination/Unlimited Call Capacity

A virtually unlimited number of simultaneous callers can call your toll-free number without receiving a busy signal.

Caller ID Capture (ANI)

Our system captures the telephone number of every call into your system, even if the number is blocked. We use Automatic Number Identification (ANI), a call capture feature that is similar to caller ID but can not be blocked. You are then notified of the information by pager, phone call, or e-mail.

List of Extensions

A custom recording which is often used by companies that have several employees utilizing the system. Instead of listing all of the personal extensions during the initial greeting, you can transfer your callers to a custom directory where they can choose the appropriate extension.

Follow-Me-Live Call Transfer

This service tracks you down at home, the office, or on your cell phone to deliver a caller to you. It announces the name of the caller and allows you to choose to talk to the caller or send her to voice mail. You can even select the times of the day and days of the week for taking calls on a particular number.

With this feature:

  • Never miss a call - availability to your customers can mean the difference between closing a sale or not;
  • Save time by routing "time wasters" directly to voice mail;
  • Create an image of a single office while you and your partners work from different homes, different cities, or different countries;
  • Boost your efficiency by blocking out "DO NOT DISTURB" time blocks to complete office work.

Six Second Billing Increments

We charge using 6-second billing increments so that our clients do not pay for unused partial minutes.

Call Announce/Screening

Differentiate business calls from personal calls even if they ring on the same line. During live call forwarding, once you answer the phone the system can transfer the caller to you, ask you if you would like to accept the call, send the caller directly to voicemail, put the caller on hold or forward the call to the next number in your sequence. You have the ability to hear the caller's name and the extension which they are calling before choosing to accept the call.

Online Administration

Administer your voice/fax service using our online administration facility. You can:

  • View and edit account information
  • View your list of products and pricing
  • View and print payment history
  • Check your minute usage in real time
  • Check your bulk minute status
  • View a list of the current day's calls including caller ID with time and date stamp

Automated Order Taking/Questionnaires

Program any of your voice mailboxes to ask your callers as many questions as required, one at a time, and record their responses. The responses will be delivered to you as a single message.

This advanced technology can be used for taking orders, gathering customer information and screening calls.

On-Hold with Music

Project a new level of professionalism with your toll-free system. During a live call transfer, customers will hear a relaxing instrumental piece until they are connected. In addition, while speaking with a customer, you can dial the * key at anytime to place your caller on hold with music. Once you are ready to resume the call, press the * key to reconnect.

Unlimited Voicemail Capacity

Each toll-free voice mailbox can hold a virtually unlimited number of voicemail messages. Messages can be accessed by calling the toll-free number or can be forwarded as audio attachments to an email address with the WebLINK and Email Delivery features.

Unlimited Outgoing Message Length

All of your custom recordings can be as long as you wish.

Live Internal Extension Transfer

Transfer callers internally between the extensions of your toll-free system just like a large corporation. For example, a support representative at extension 84 in Boston can transfer a caller to a sales representative at extension 89 in Los Angeles.

Live External Call Transfer

Transfer your caller to any phone number in the US.

International Call Forwarding

For companies with some or all personnel abroad, calls can be forwarded overseas at competitive rates.

Call Back and Pager Notification

The Call Back feature tracks you down at your phone numbers in a manner similar to Follow-Me-Live Call Transfer, but delivers a message to you rather than a live call. If the system is unable to contact you at any of your numbers it will continue to try.

The system can also be programmed to page you with specific codes whenever messages are left in voicemail.

Virtual Calling Card

Each mailbox can function as a calling card. Using your toll-free number and PIN, you are able to make outgoing calls from any phone, anywhere in the world.

Virtual Call Return

While listening to voice mail messages you can call the person who recorded the message using the number they called from. Once you have contacted the person, you are returned to voice mail so that you can continue with the next message.

Call Queuing

Place inbound callers on hold with music if you are busy with another caller. Each mailbox receives its own unique queue and customized settings.

Choose WebLINK and you can customize the maximum hold-time for callers in the queue as well as enable whether the callers on-hold hear their current position in the queue. WebLINK allows you to view the arrival time, phone number and Caller ID of each caller.

Call Blocking/Call Limiting

Allows you to block or limit the number of calls per day from any particular number.

Fax Mail

Allows people to send faxes to your toll-free number. The system stores each fax until you decide to have it forwarded to a fax machine of your choosing.

Ultimate Sales Tool

A tool for creating menu driven "audio brochures" that allow you to guide your callers through descriptions of your products and services in order to generate sales during the times you are unavailable. The feature allows you to create 500 "mirrored extensions" and 100 unique recordings and faxes.

With each recording you can give your caller the choice of:

  • Hearing sub recordings or menus
  • Receiving a fax
  • Speaking to a live representative
  • Leaving a message

Group Voice Messaging

Voicemail messages and faxes can be forwarded to any existing email address as attachments. Voice messages are forwarded as .wav files and can be played and saved on your computer. Fax messages can be viewed, printed and saved as well.

After-Hours Greeting

Let your customers know when you are not in the office with a separate after-hours greeting. The caller can still navigate throughout your system, listen to product information, request "Fax Back" documents, utilize "Automated Order Taking," etc, but will know not to expect a live person.

Dial-by-Name Directory

Allows you to create a dial-by-name directory using the WebLINK interface. Dial-by-Name offers your callers access to the party they are calling by pressing the # key and dialing part of the name of the person or department.

This feature eliminates the need to list numerous extensions and is of special benefit to small companies that wish to project a larger appearance.

Statistics Package

Provides reports that summarize how people move throughout your voice system and how many "hits" have accumulated for each of the extensions. Choose from HTML or CSV reports sent to you by email, including daily statistics and weekly and monthly summaries.

Have any selection of music loaded for your callers to hear while they are waiting to be connected. You can even have informational recordings about your company loaded!

Mailbox Rotation

Allows calls to be forwarded to groups of extensions on a rotating basis. As customers call they can be distributed to employees on a 'round robin' basis or forwarded to employees at random, regardless of whether they reside in the same office or in different parts of the world.

Additional Mailboxes

Additional mailboxes can be added to any toll-free plan in groups of five. Provide all of your employees with access to voicemail improving the productivity of your company.

Random Hold Music

Choose the type of music you would like your callers to hear while on-hold from four different genres of music: rock, jazz, easy listening and house. Each genre has ten different songs which will play in random order.
